With initial design of your summer learning program complete, you’re ready to recruit staff and partners, then cultivate skills and knowledge so your gardeners can deliver activities that help students grow and prevent summer learning loss. You may have a core team in place but probably need to fill some gaps. Where do you start? Here are some tools and tips from Y4Y resources.

Select the Right Gardeners

To nurture strong, successful students, plan staff and partner recruitment to identify candidates with qualities you need.

  • Recruit staff. Some will be school-day teachers, who understand academics and know how to support student learning. Others will be school-day paraprofessionals, college students and community volunteers. You want candidates who reflect your students’ diversity, can support social and emotional learning, and bring skills and knowledge that will enrich the learning environment. Create a recruitment structure by developing job descriptions and preparing for interviews.   • Recruit partners. Use Y4Y tools to put two things in place: a community asset map that identifies potential resources, and an elevator pitch that explains your 21st CCLC program and its goals for summer learning. These resources help you prepare the soil for successful collaborations.

Fertilize and Water Frequently

Start by including everyone — your staff and appropriate partner staff — in orientation training, so everyone knows the garden design. As the summer session progresses, follow up with group and individual coaching. A Little Weeding and a Lot of Joy

Your summer learning garden can produce glorious blooms — just be sure to use your continuous improvement process to weed out ineffective practices. Your students have spent the school year being fed and watered. It’s time to shine the bright summer sun on their budding minds, and watch those colorful petals unfurl!

Tilling for a New Crop: Reflect

As you review data to identify and invite the students who most need support during summer months, also take time to reflect on ways you and your students have bloomed over the past school year. What strategies ”fed and watered” this growth? Have you told your colleagues and students about ways you've seen them bloom, maybe by overcoming a challenging situation, learning a new skill or daring to try something new?

Try these ways to review data and identify students who most need support:

  • With your program team, use your continuous improvement process to review your program’s spring session to see what worked well for students and staff. Note any programmatic issues that disrupted growth. Grab your gloves and pull those weeds out of the mix!
  • Your stakeholders — including teachers, principals and parents — can offer valuable advice on this year’s crop. Meet early to revisit your academic and enrichment program essentials with these cultivators of young minds to strategically target recruitment.

Sowing the Right Seeds: Recruit

Be intentional about recruiting students who can benefit most from the summer program you’ve designed. Based on teacher recommendations and needs assessment results, make direct invitations to the students and their families. For ideas about structuring and managing student recruitment, start with the Y4Y Summer Learning Youth Recruitment Planner tool, and also try these strategies:

  • Take advantage of family and community activities to set up an information table where families can learn about your summer program activities and goals.
  • Advertise your program through social media. Be specific about program goals so you attract the students and families you hope to serve.

Helping Families Harvest: Identify Local Resources

For students who don’t have access to summer programs, try these strategies to support summer growth:

  • Coordinate with community partners to distribute materials about summer activities at libraries, museums, parks and historical sites around your district.
  • Participate in spring school-based family activities to help sing the praises of community resources and offer at-home ideas such as those in the Y4Y Family Engagement Strategies tool and the Learn More Library of the Y4Y Summer Learning course. Here are some examples from the Library:

A 2018 survey by the Pew Research Center found that 17 percent of teens “often” or “sometimes” can’t complete homework assignments because they don’t have access to a computer or the internet. This situation is so common that it has a name: the homework gap. The students most likely to have this challenge are Black teens and those from lower-income households.

Students with no computer or internet access at home might depend on your 21st CCLC program for access. Here are three ways your program can help bridge the homework gap:

  • Pinpoint technology needs. Survey students and teachers to identify technology needs. Computers, a printer and internet access are “givens.” But what if a biology assignment calls for an original, illustrated presentation? Can your program provide access to presentation software and a digital camera? What if a future engineer wants to join a live online study group moderated by a NASA scientist? Do you have an internet-connected computer in a quiet area so the student can fully participate? There may be other needs, like access to a graphing calculator or a handheld GPS unit.
  • Use strategy and collaboration to meet identified needs. If you find technology needs beyond the reach of the program budget and resources, look elsewhere. Might the school provide access to its technology lab? Have you checked your local library? Some libraries loan digital cameras, video cameras, tripods, telescopes, microscopes and other hardware. Might a local business or community organization loan or donate new or used items to your program? You might be surprised at people’s willingness to help, once you tell them what you need and why.
  • Make technology part of your program activities. Make sure your students don’t “sit on the sidelines” when it comes to technology. If you have limited tech abilities yourself, invite a tech-savvy parent, college student or volunteer to coach. Your students will love watching you make mistakes as you learn along with them! Robotics and coding are popular activities in many 21st CCLC programs. Creating a blog or a podcast is a great way to integrate technology into project-based learning. Maybe your students can help you set up a videoconference with a professional geologist or weather forecaster as part of a citizen science project. Building skills and confidence with technology is important to students’ future success.

When family members join the band, student learning rocks. Y4Y’s updated Family Engagement course can help you plan a variety of high-interest, high-impact activities that families will look forward to doing — whether at home with their child, at your program site or in some other location in the community.

Did you know the last full week of each April is Afterschool Professionals Appreciation Week? Of course, it’s never too early or too late to recognize 21st CCLC staff members for their efforts and contributions. There are all kinds of creative ways to say “You rock!” Use these tips to boost energy, confidence and morale year-round.

Be specific. It’s good to hear “Thanks for all you do.” It’s even better to hear “I’m so glad you agreed to mentor our newest staff member. Alyson has really grown professionally in the three months since she joined us, and she told me she’s very grateful for your support. You have a knack for encouraging people to grow.”

Take notice when staff members…

  • Learn a new skill.
  • Offer a new idea.
  • Solve a problem.
  • Do something for the first time.
  • Do something well, and consistently, over time.
  • Make a positive difference for a colleague, student, family or the community.

Whether you recognize someone in public or in private, verbally or in writing, use stories and examples. This shows you were paying attention, and it signals that their actions were memorable and noteworthy.

Find creative ways to say “thank you.”

  • Feature staff members’ good work in a newsletter, newspaper, website, blog, bulletin board or another public place.
  • Spotlight their contributions at a staff meeting or program event.
  • Treat the team to breakfast.
  • Surprise them (e.g., with an act of service, a treat or words of affirmation).
  • Provide an opportunity (e.g., to try something new, or to learn something new).
  • Share the mic (e.g., provide a forum for staff to hear directly from students, families, colleagues and others).  

Acknowledge individual and team accomplishments. Did a staff member earn a professional certificate, or wow the local school board with a presentation about your program? Recognize these accomplishments at your next staff meeting! Teamwork is equally important. When staff members team with colleagues, families, partners, school-day teachers or community members, cheer for their success, and acknowledge what they accomplish.

Don’t wait! Year-end awards are great, but people need encouragement along the way.

When you catch someone doing good work, let them know right away. As Leslie coaches students in slapstick comedy, or as Jim lets his students teach him some dance moves, maybe you can snap a photo and send it in a text message: “Those kids are having a great time, thanks to you!” Hint: Action shots are also great for bulletin boards and newsletters, which are ways to provide public recognition.
